Terms & Conditions


These Terms and Conditions apply to all exhibit space, sponsorships and industry-supported speaking opportunities purchased for the ASR Global Symposium 2028 (the “Symposium”).

By applying, ordering, paying or otherwise confirming participation, the participating company (“Company”) agrees to these Terms and Conditions and confirms that the person making the commitment is authorized to bind the Company.

1. Application, Acceptance & Payment

Participation is subject to ASR acceptance. Space, sponsorships and speaking opportunities are confirmed only when accepted by ASR. Fees are payable according to the invoice or written confirmation and, unless otherwise stated, are due within 30 days. ASR may release unpaid inventory after the applicable deadline.

2. Cancellation & Refunds

Cancellations must be submitted in writing. Refunds follow the cancellation schedule on the application/order form. Benefits already produced, published, delivered or contractually committed are non-refundable. Failure to attend or use a purchased benefit does not eliminate payment obligations.

3. Assignment of Exhibit Space

ASR will assign space using the process described in the prospectus and may reasonably modify the floor plan or relocate space for venue, safety, program or operational needs. ASR will make reasonable efforts to provide comparable placement after a material relocation. Space, sponsorship rights and badges may not be transferred, shared or sublet without written approval.

4. Competitor Proximity

ASR does not guarantee separation from competing companies, products or services unless expressly agreed in writing.

5. Installation, Staffing & Dismantling

Exhibits must comply with ASR, JW Marriott Nashville and official contractor requirements. Companies are responsible for services not expressly included in their package. Booths must be installed and staffed during published hours. Early dismantling or packing is prohibited unless ASR authorizes it.

6. Official & Exclusive Providers

Where required by ASR or the venue, Companies must use designated providers for services such as catering, electrical, internet, rigging, audiovisual or material handling and are responsible for charges they incur.

7. Exhibitor Conduct & Solicitation

Personnel must act professionally and avoid interference with attendees, education, neighboring exhibitors or venue operations. Solicitation, demonstrations and promotional distribution must remain within assigned space unless approved. ASR may restrict sound, lighting or activities that are unsafe or materially disruptive.

8. Badges & Representatives

Only properly registered and badged individuals may staff exhibits or enter restricted areas. Badges may not be shared. The Company is responsible for its employees, representatives, contractors and guests.

9. Industry-Supported Speaking Opportunities

The sponsoring Company is responsible for its speakers, content, disclosures, permissions and legal/regulatory compliance. ASR controls overall program scheduling, room assignment, branding and logistics. Unless ASR states otherwise, these sessions will be identified as non-accredited/commercially supported and distinguished from accredited education. Opportunities may not be transferred or resold without written approval.

10. Industry-Supported Session Disclaimer

Industry-supported sessions are independently developed and sponsored by the participating Company. Unless ASR expressly states otherwise, the views, information, products and claims presented are those of the sponsor and/or presenters and do not constitute ASR endorsement or recommendation.

11. Sponsorship Benefits & Deadlines

Benefits are limited to those stated in the prospectus or written confirmation. Required materials must be supplied by published deadlines and in the requested format. ASR is not required to refund or replace a benefit lost because the Company missed a deadline. If a benefit becomes unavailable for operational reasons, ASR may provide a reasonably comparable substitute.

12. No Guarantee of Attendance or Results

ASR does not guarantee attendance, attendee demographics, exhibit traffic, leads, sales, business opportunities, speaker attendance or other commercial results. Historical or projected attendance information is informational only.

13. Scientific Independence

Commercial participation must remain appropriately separate from accredited education. Exhibitors and sponsors will have no role in accredited education planning, faculty selection, content development, delivery or evaluation except as permitted by applicable accreditation requirements. ASR may impose separation, disclosure, signage or timing requirements.

14. Program, Faculty & Schedule Changes

ASR may reasonably change speakers, faculty, topics, session times, room assignments, exhibit hours or other program elements. Such changes do not create a refund right where the purchased opportunity remains substantially available.

15. Regulatory & Healthcare Industry Compliance

The Company is responsible for ensuring its products, services, promotional materials and claims comply with applicable laws, regulations and industry requirements, including rules governing interactions with healthcare professionals. Investigational or unapproved products/uses must be identified and displayed as required by law.

16. Intellectual Property & Submitted Materials

The Company represents that it has all rights, licenses and permissions needed for materials it provides or displays and is responsible for related claims. The Company grants ASR the limited right to use submitted materials as needed to deliver purchased benefits.

17. Hazardous Materials & Clinical Demonstrations

Sharps, biological or cadaveric materials, lasers, gases, chemicals, open flames, clinical procedures or other potentially hazardous demonstrations require prior written approval from ASR and the venue and must meet all safety, disposal, permitting and regulatory requirements.

18. Venue, Safety & Property

The Company must comply with applicable laws, accessibility, fire/life-safety, venue and contractor rules. Aisles, exits and safety equipment must remain clear. The Company is responsible for its property and for damage caused by its personnel or contractors. General event security is not individual booth security.

19. Insurance

Exhibitors and sponsors must maintain insurance appropriate to their activities and provide evidence when requested. Final liability limits, certificates and additional-insured requirements will be communicated in exhibitor service materials. Companies are responsible for insuring their own property.

20. Indemnification & Limitation of Liability

To the fullest extent permitted by law, the Company will indemnify, defend and hold harmless ASR and its officers, directors, employees, agents and contractors from third-party claims arising from the acts or omissions of the Company or its personnel, except to the extent caused by an indemnified party’s negligence or willful misconduct. ASR will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages. Subject to law and any contrary written agreement, ASR’s aggregate liability will not exceed fees paid for the specific opportunity giving rise to the claim.

21. Cancellation, Postponement & Force Majeure

ASR may cancel, postpone, relocate, shorten or modify the Symposium when circumstances beyond its reasonable control make the event illegal, impossible, impracticable or materially unsafe. If ASR cancels and does not provide a reasonably comparable alternative, it will determine an equitable refund or credit for undelivered fees, considering benefits already delivered and non-recoverable commitments. ASR is not responsible for Company travel, lodging, shipping, labor, booth, vendor or other third-party costs.

22. Attendee Data & Lead Retrieval

Attendee and lead information will be provided only in accordance with applicable privacy laws, attendee consent and ASR policy. Lead data may be used for legitimate Symposium-related follow-up and must comply with privacy, anti-spam and data-protection laws. It may not be sold, published or transferred except as permitted.

23. Photography, Recording & Use of Marks

ASR may photograph or record the Symposium, including exhibits, sponsor signage and representatives, for documentation and promotion, and may use the Company’s name/logo to recognize participation. ASR names and marks may not be used without authorization except for approved factual identification as an exhibitor or sponsor and may not imply endorsement, certification, exclusivity or partnership.

24. Right to Refuse or Remove Materials

ASR may require modification or removal of displays, materials, claims, demonstrations or activities it reasonably determines are unsafe, unlawful, misleading, inappropriate for the professional meeting, inconsistent with these Terms or materially disruptive.

25. Ancillary Events

Company-hosted meetings, receptions or activities associated with the Symposium may require ASR approval and may not conflict with protected scientific sessions, official functions or restricted times. Venue space, catering and audiovisual arrangements remain subject to venue requirements and availability.

26. Enforcement, Entire Agreement & General Terms

ASR may require correction of violations and, where reasonably necessary, restrict activities, remove materials, revoke credentials, close an exhibit or terminate participation for material or repeated violations. The accepted application/order, these Terms, the prospectus and written confirmation constitute the agreement for the purchased opportunity. If a provision is unenforceable, the remaining provisions continue in effect. Waiver of one breach is not waiver of another. ASR may adopt reasonable additional operational rules for safety, legal compliance, accreditation, venue requirements or effective administration.

27. Acceptance of Terms

By submitting an exhibit or sponsorship application or order, the Company confirms that it has reviewed and agrees to these Terms and Conditions, which are incorporated into the agreement with ASR. The individual submitting the application or order represents that they are authorized to bind the Company.
